Payroll

Many small business owners shy away from Payroll thinking they are “too small” and pay their workers by cash or check. The IRS has hunted down countless small companies who thought they could save the employer share of Social Security/Medicare and avoid paying State and Federal Unemployment taxes.  Make sure you are protected and have us evaluate your situation free of charge. Payroll base rates are $5/payroll/employee or $4/occurrence/ contractor and include reports and all federal/state filings (941/940/RT6/W-2/1099), with volume discounts available. We also provide “file only” services for quarterly and annual payroll related information returns for a mere $10 each. No minimums!

Frequently Asked Questions (FAQ)

  • I am a sole proprietor/single member LLC; do I have to write myself a paycheck?
NO, you only need to put your employees on payroll, not yourself.
  • I am the president of a Corporation, do I have to put myself on payroll?
YES, the law requires that you pay yourself reasonable compensation.
  • I use day labor, what do I need to do?
If you’re using a company that provides temporary workforce, you are okay. If you’re using individuals, even if only for a few hours at a time, you MUST have their personal information, such as name, address and Social Security Number before paying them. The question if you can pay these individuals as contractors or you have to treat them as employees depends on many different aspects.
  • What is the difference between an employee and a sub-contractor?
Grossly simplified, you take out taxes from the employee (and pay half of their social security and medicare) while the contractor gets the gross amount and is responsible for his/her own filings.
  • This seems to be much easier and cheaper. Can I treat anybody as a sub-contractor?
Not so fast! If somebody works solely for you at your location/site under your supervision and schedule and you pay by the hour or day, you’re talking employee, without a doubt. The subject is complicated and I urge you to let us help you with worker classification to avoid costly fines.
  • What about the taxes and quarterly filings? And W-2s?
Easy! If you hire us, none of these are your concern anymore – we take care of it all. We will file quarterly and annual reports, fill out W-2s and file those with SSA. We also report to the IRS and the FL Department of Revenue and have the payroll taxes directly debited out of your bank account on the due date to keep you compliant.
  • Can I get worker’s compensation through you?
We have partnered with a few big names in the industry and will forward your application without charge. Acceptance is up to the Insurance Companies themselves, but chances are good.
  • How does the whole process work in detail?
You provide us with a form W-4 for each employee, tell us about pay periods, pay dates and pay rates and then send us the hours everybody worked at least 2 business days before the pay date. We will process your payroll and email your checks, which you can print onto your own checks, blank checks or use the pay stubs to pay per Venmo, Zelle, Paypal, direct deposit, cash, etc. You also receive weekly/monthly/quarterly and annual reports about all activities.
  • How much does this all inclusive service cost?
Payroll fees vary depending on how many checks we prepare per pay date. A single monthly salary check costs as little as $25 per Quarter or $100 for the whole year. Regular hourly employees are charged at $5/payroll, with rates coming down all the way to $2.50/payroll if you’re paying more than 20 employees per pay date.
